Hired is a concept web application that combines the functionality of multiple tools recruiters use to streamline the process of managing and interviewing potential candidates.
By incorporating an automated emailing, scheduling and communication features, recruiters can now prioritize their focus on the most important part: evaluating the fit of each candidate for the available roles at their company.

Background

The interview process is tough- not only is the process long and extensive, but there's also a lot of back and forth between candidates and recruiters to finalize details in the hiring process. The number of steps involved, from an initial phone screen to coordinating an in-person interview and keeping track of each company or candidate's progress can get tiresome. I set out to explore to see if a system can be designed to streamline this process to
make it effortless and easy for everyone involved.

To better understand the problem space, I interviewed recruiters and recent candidates about the hiring process

I stated by asking who is involved? What are their goals, needs, responsibilities? How long does this process take? What tools do they use? I gain insights on how recruiters fill open roles, and how candidates job hunt to uncover areas of opportunityfor the design exercise.

Recruiters coordinate with hiring managers to understand hiring roles, and then begin the process of finding the right candidates to fill them. Some of the pain points they were experiencing in the process were the following:

  • difficut to keep track of candidates for different open roles
  • used multiple tools to find, review, schedule and interview potential candidates
  • frustrated aligning schedules between candidates and interviewees

Candidates who begin their job search applied to all roles that interested them, and reached out to their network for leads. Some of the pain points they were experiencing in the process were the following:

  • rarely receive a response to submitted applications and inquiry emails
  • wanted more control over scheduling phone
    calls and interviews
  • frustrated with lack of transparency on their progress within the hiring process

By creating personas, I aimed to understand each user's perspectives and empathize with them by mapping out their goals, responsibilities and needs. I also wanted to know: what is the journey of each user? What is the map of interaction?

I outlined a typical hiring journey and mapped out the interaction touchpoints to help guide initial concepting.

After much explorations, the final goals
of Hired became clear:

  • manage open positions, applications and resumes in one location
  • quicky evaluate and approve candidates
  • consolidate all communication from a candidate
  • easily arrange calendars to schedule an interview

Hired is an application that combines the functionality of various tools to help streamline the process of managing & scheduling potential candidates

Jenny is a recruiter at Company Y, in charge of hiring three project managers

Jenny checks her dashboard to review her tasks for the day. Her dashboard indicates who needs to be scheduled for an interview, who has emailed her back, completed her scheduling request etc.

She can view her color coded calendar to help her prepare for her day.

Jenny clicks on jobs to view all open positions, and the postings she is responsible for filling.

She views the Project Manager position and sees that there are new applications that have yet to be reviewed.

Jenny reviews Frances' profile and her resume. She believes Frances can be a great fit for the role, so clicks on “Interested!”
and Hired sends her an automated
interest e-mail.

Since Frances is a potential fit for the role. Hired automatically creates a candidate profile for her.

A few days later, Jenny receives a reply from Frances indicating she is interested in learning more about the role. Jenny sends her availability for an intial phone call to Frances with a simple automated email feature.

Frances receives Jenny’s schedule in an
e-mail and has the freedome to choose which time frame works best.

When she selects a day and time, it is automatically added to Jenny’s calendar.

The day of Frances' phone screen, Jenny receives a notification from Hired that her her phone screen with Frances is in 10 minutes. She can choose to view her profile to help prepare for the call.

Within her profile, Jenny can review Frances' progress so far and all communication that has taken place between them.

During the call, Jenny speaks with Frances about her background and fills out a feedback form with her scores. She notes that Frances is a great fit for the role.

She sends a quick e-mail to Frances, letting her know she will be scheduled her for a In-Person interview soon.

Jenny accesses the scheduling assistant to help her find the perfect day for Frances to meet the team.

She adds the interviewers names, and Hired automatically shows her the days and times they are available to meet with Frances.

Jenny confirms the suggested schedule with each team member.

The next day, Jenny receives confirmation on which days work best for each team members. She goes ahead and sends the availability schedule to Frances.

Frances receives the available time frames for an in-person interview and selects the day that works best. 

Upon her selection, Hired automatically adds the interview to the calendars of all parties involved, including Jenny.
